Benefits of survey centralization

It seems like almost every software application on the market today has a feature or module for capturing feedback or surveys of some time.

The result of this is a complicated network of software applications that is not only tough to manage, but also potentially irritates the users of these systems. Why? For starters, they are innundated with requests for feedback and often times they are forced to enter duplicate information. This, in turn, means that the quality of data is likely reduced and the cost of acquiring this data has most definitely increased.

Therefore, it’s time to consider centralizing all of your organizations surveys, quesitonnaires, and feedback. Here are some of the many benefits:

Reduced cost of ownership
Why pay for multiple modules or applications when just one will do? Most vendors of enterprise-grade survey applications, such as Prezza Technologies offer easy methods of integrating with your existing infrastructure, including web sites, CRM applications, and HR software.

Centralized access to data
Rather than having every department conduct its own comprehensive surveys or feedback, they can leverage existing data that was previously collected. This reduces the cost and time required to accomplish the project and also greatly improves the quality and validity of the analysis.

Better user experience
Your organization will benefit from a consistent and cohesive user experience that is branded with the look and feel of your organization. A centralized, specialized survey application will generally allow for more flexible customization of the user experience than an add-on module to an application whose primary function is not survey/feedback.

Improved quality of data
Again, a specialized and centralized application will result in the ability to leverage survey data collected throughout the organization.

Survey hosting or survey software?

One topic that seems to come up a lot is whether it’s better to use a web survey hosting service or downloadable survey software. It has only been in the past couple of years where this question has been open for debate. In the past, companies were very hesistant to put applications with critical or proprietary data outside the corporate LAN. However, with the mainstream success of companies like SalesForce.com, ASP services continue to gain credibility for use in corporate environments.

So, what’s the right way to go when it comes to conduction web-based surveys? It really depends on what your requirements are.

Here’s a list of some of the key reasons that generally come into play when picking one over the other:

ASP survey hosting services:
Quick to setup
Simpler feature set that has a lower learning curve
Generally 100% web-based
Low entry cost
Minimal technical overhead

Survey software:

Maximum functionality
No monthly recurring fee
Total control over your data
Ability to integrate with other applications or web sites

There are certainly other things to consider — but at the end of the day it’s really a question of whether or not you want to have your surveys and data collected inside or outside of your company’s network.

CHECKBOX Survey comes out on top in comprehensive category study by Zen Internet

Survey Software Category Overview
The use of survey software has become much more widespread in recent years. High profile companies now prefer to purchase enterprise software to conduct comprehensive surveys for customer and employee feedback, rather than developing their own web survey solutions in-house.

As a result there is a wide range of survey software on the market, ranging from simple design packages to full service solutions that include design, implementation, analysis, results, and reporting. These packages come with a variety of designs and pricing structures: web server installations, online-based packages, enterprise or single user licenses, and finally subscription-based online surveys. Additional criteria included the ability for the survey software to have:
No limits in terms of quantity of responses

Provide comprehensive reporting and results analysis (including live and periodic) that are intuitive and easy to follow
Create surveys that do not require much time and effort from the participant to complete

Paid survey sites — scam or legit?

Most paid web survey sites are scams — requiring you to pay a membership to see the list of offers. In many cases, the list of “offers” are expired or invalid, meaning that you’ve wasted your own money just to find out that there are no “paid surveys” to take.

Here are a list of three sites that we’ve heard are legit:

Survey Scout
Survey Locator
Surveys Paid.com

Please note that we are not affiliated with any of these sites nor do we offer paid for surveys on our web site.

Best-practices for web-based surveys

Prezza Technologies has a great article on best-practices for creating web-based surveys:

“When designing surveys for the web using any product in the Ultimate Survey suite of online survey software, there are several things to consider when designing surveys for the web compared to other mediums.Ultimate Survey Enterprise Product PageHere is our list of things that you should think about before designing your web survey:

1. Type of user and their internet abilityIs the user an expert or novice internet user? This will effect the speed at which the respondent answers the survey or form. Therefore, this should be taken into account when determining the complexity and length of each page of your online survey.

2. Bandwidth of the userSimilar to number 1, this should be used as a factor when considering the length and complexity of your online survey.

3. Number of questions per pageWhile paper form surveys can generally run the gamut in terms of length, computer (and specifically web) based surveys require more thought when it comes to this issue. Generally speaking, we recommend that each page have approximately 5 questions. In our testing, this has generally resulted in the least users that abort the survey and the most thorough answers/time spent on each question. Use pages in your online surveys to separate the questions in to logical sections.

4. General usability
When applying a style to your survey, consider the color scheme and font choice that you use. The web survey should be pleasing to the eye and easy for the respondent to read. Poor choice of color design, inconsistent fonts, and small font size can all lead to respondents aborting the survey. In addition, we recommend that you use our survey software’s column features when creating radio or checkbox questions with long lists of answers. This will greatly improve the responses that you receive from the survey respondents.Overall, these are the first steps in creating high quality web based surveys with our survey software. We believe that following a strict and consistent design process will greatly improve the quality of your surveys and the responses that you get from your respondents.”
